Bulk Edit or Delete Students

Purpose#

Apply one program or permanent-group assignment change to several active students at once, or hide several students from active use in one deletion action.

Permissions#

  • Organization admins can bulk-edit assignments and bulk-delete students.
  • Editors can bulk-edit students who belong to at least one program where they have editor access. Editors cannot bulk-delete students.
  • Volunteers cannot use bulk selection or bulk assignment actions.
  • Bulk assignment changes require edit access to the selected target program.
  • An active 14-day trial or paid subscription is required.

Prerequisites#

  • Open Students and make sure the students are visible in the current search and program filter.
  • For assignment changes, identify one target program and, when setting a group, one active group in that program.
  • For deletion, confirm that you are signed in as an organization admin and that the selected records should be hidden from active check-in.

Select Students#

  1. Open Students.
  2. Use Search students and Program if you need to narrow the directory.
  3. On a desktop table, select each student's checkbox or use Select all students to select all visible, eligible students.
  4. On a small screen, select Select students, tap each eligible student, and optionally select Select all.
  5. Review the selected count before continuing.

Only students you are allowed to manage can be selected. Changing a search or program filter keeps already selected students selected, so rely on the displayed count and use Clear all or Cancel selection when needed.

Bulk Edit Assignments#

  1. Select the students as described above.
  2. Select Edit assignments.
  3. In Bulk edit students, choose an Action.
  4. Choose the target Program.
  5. For Set group, choose a Group. If This program has no active groups. appears, select another program or create an active group first.
  6. Select Apply to _N_ students.

Assignment Actions#

Action optionResult
Add programAdds the selected program to every selected student if missing. Existing assignment to that program is retained and treated as manual. Other programs are unchanged.
Remove programRemoves the selected program from every selected student and removes each student's permanent-group assignment for that program. Other programs are unchanged.
Set groupAdds the selected program if needed, treats that program assignment as manual, removes the student's other permanent-group assignment for that program, and assigns the selected group.
Clear groupsRemoves permanent-group assignments for the selected program. The program assignment itself remains.

Bulk editing changes program and group assignments only. It does not change names, birthdays, grades, profile fields, photos, custom fields, or alumni status.

Bulk Delete Students#

  1. Select the students as described above.
  2. Select Delete selected.
  3. Review Delete selected students? and the number of students that will be hidden from active check-in.
  4. Select Delete selected to confirm, or cancel to keep the records active.

Expected Result#

After a bulk assignment change, a message such as Updated 4 students. appears, selection is cleared, and updated students return to the directory list with their new assignments.

After bulk deletion, the selected students disappear from Students and active check-in. Their records and attendance history are retained; deletion sets the records inactive rather than permanently erasing them.

Troubleshooting and Important Notes#

  • If selection controls are missing, volunteers cannot use this feature. Editors see controls only for students within their editable scope.
  • If Edit assignments or Delete selected is missing, first select at least one eligible student. Delete selected is organization-admin-only.
  • If the app reports that one or more students are unavailable, a selected record may have become inactive or fallen outside your access. Clear the selection, refresh the list, and select again.
  • If edit access is denied, choose a Program where you have editor access or ask an organization admin to make the change.
  • Remove program can leave a student without that program and its group. Use care when changing a student's only program assignment.
  • Bulk deletion does not move students to Alumni. Deleted students are inactive and do not appear in the active alumni list.
  • CSV import can reactivate an inactive exact match. Before a later import, remember that matching uses normalized first name, last name, and birthday.
