Add one event to the organization schedule using the organization's configured timezone.
Permissions#
- Organization admins can create events for any active program.
- Editors can create events only for active programs they edit.
- Volunteers can view accessible schedule events but cannot create them.
Prerequisites#
- Your organization must have an active 14-day trial or paid subscription.
- At least one active program must be available to you.
- An organization admin must set the organization Timezone in Organization Settings before anyone can create events.
Create the Event#
- Open Schedule.
- Select Create event.
- Leave Recurring turned off.
- Enter the Event name.
- Choose a Program.
- Enter the Start date and Start time.
- Enter the End date and End time.
- Optionally enter Location and Description.
- Select Create event.
Fields and Options#
| Field | Details |
|---|---|
| Event name | Required; cannot be blank; 200 characters maximum. |
| Program | Required; must be an active program you can edit. |
| Start date | Required; enter month, day, and a four-digit year from 1900 through 2100. |
| Start time | Required. The value is interpreted in the organization's timezone. |
| End date | Required; cannot be before the start date. It defaults to the start date until you edit it. |
| End time | Required. The complete end date and time must be after the complete start date and time. |
| Location | Optional; 200 characters maximum. |
| Description | Optional; 4,000 characters maximum. |
An event may span midnight when you choose a later End date. A start date and time in the past shows a warning but is still accepted.
Timezone Behavior#
The entered dates and times are organization-local wall-clock values. REKNOWN converts them using the timezone set in Organization Settings, and schedule displays use that organization timezone.
Outcome#
The event is created as active and appears under Upcoming if its end time has not passed. Once its end time passes, it appears under Past. An event currently in progress remains Upcoming until it ends.
Troubleshooting and Notes#
- If Create event is unavailable, confirm that an active program and organization timezone are configured and that you are an admin or editor.
- Editors only see programs they edit in the creation form.
- If the end is rejected, make the complete end date and time later than the complete start date and time.
- If the timezone warning appears and you are an admin, follow Organization Settings to set Timezone. Editors must ask an organization admin.
- To generate one event per week over a date range, use Create Recurring Events.
