Edit, Cancel, or Restore an Event

Change one event occurrence, move it to Cancelled, or return a cancelled event to the active schedule.

Permissions#

  • Organization admins can manage events in any active program.
  • Editors can manage events only in programs they edit.
  • Volunteers can open accessible event details but cannot edit, cancel, or restore events.

Prerequisites#

  • The event must belong to your organization and be accessible to you.
  • Editing dates or times requires an organization Timezone.
  • Moving an event to another program requires edit access to both its current program and its new program.

Edit an Event#

  1. Open Schedule.
  2. Find the event under Upcoming, Past, or Cancelled. Use Search events or Program if needed.
  3. Open the event's more-actions menu and select Edit occurrence, or open the event and choose Event actions, then Edit occurrence.
  4. Update Event name, Program, Start date, Start time, End date, End time, Location, or Description.
  5. Select Save event.

The complete end date and time must be after the complete start date and time. The entered dates and times are interpreted in the organization's timezone.

For a recurring event, the form states: This edits only this occurrence. Other dates in the recurring series will not change. The same one-occurrence rule applies when changing its program.

Cancel an Event#

  1. Open the event's more-actions menu and select Cancel event, or open the event and choose Event actions, then Cancel event.
  2. Review the Cancel event? confirmation.
  3. Select Cancel event.

Cancellation is a soft action. The event moves to Cancelled, remains available for review, and can be restored. Attendance records and generated small groups remain available.

For a recurring event, only that occurrence is cancelled; the other series dates remain active unless cancelled separately.

Restore an Event#

  1. Open Schedule.
  2. Select the Cancelled tab.
  3. Find the event and open its more-actions menu.
  4. Select Restore event.
  5. Review the Restore event? confirmation.
  6. Select Restore event.

Outcome#

An edited event immediately uses the saved details. Its list placement follows its status and end time: active events whose end has not passed appear under Upcoming, ended active events appear under Past, and cancelled events appear under Cancelled.

A restored event returns to active status. If its end time is already past, it belongs under Past rather than Upcoming.

Troubleshooting and Notes#

  • If management actions are missing, confirm that you are an organization admin or an editor for the event's program.
  • If changing Program is denied, you need edit access to both the original and destination programs.
  • If edited times are rejected, ensure the end is later than the start and that the organization timezone is set.
  • A cancelled event keeps saved groups for review but cannot regenerate groups until it is restored.
  • Cancelling does not remove attendance or groups. Discard groups is a separate action and also leaves attendance intact.
