Manage Custom Student Fields

Custom fields collect student information beyond the built-in profile fields.

Permissions#

  • The Custom fields settings screen is available only to organization admins.
  • An active 14-day trial or paid subscription is required.

Create a Custom Field#

  1. Open Settings.
  2. Select Custom fields.
  3. Enter a required Label.
  4. Set Scope to Organization-wide or choose one active program.
  5. Choose Type: Text, Long text, Number, Date, Checkbox, or Dropdown.
  6. Enter Sort order as a whole number. Lower values appear before higher values; fields with the same value retain creation order.
  7. For Dropdown, enter Dropdown options, one nonblank option per line. At least one option is required.
  8. Select Required if students in the field's scope must have a value for a complete profile.
  9. Select Create custom field.

Scope and Required Behavior#

  • Organization-wide fields apply to students throughout the organization.
  • A program-scoped field applies when a student is assigned to that program.
  • Required custom fields are enforced on normal student forms and contribute to the student's profile-completion status.
  • Quick registration during check-in displays applicable custom fields as optional. Omitting a normally required value saves the student with an incomplete profile for later follow-up.

Remove a Field#

  1. Find the field in Custom student fields.
  2. Select Remove field.
  3. Review Remove custom field?.
  4. Select Remove field to confirm, or cancel to keep it.

Removal deactivates the field and removes it from active student forms. Existing saved values are retained rather than erased. The current interface does not provide edit or restore controls for a field, so verify the label, scope, type, options, requirement, and sort order before creating it.

Expected Outcome#

The new field appears in the field table and on applicable student forms. A removed field disappears from active forms and the settings list while its previously saved history remains stored.

Troubleshooting and Important Notes#

  • Dropdown fields require at least one option: Add one or more nonblank lines under Dropdown options.
  • Invalid custom field details: Confirm Label is not blank and Sort order is a whole number.
  • Only active programs appear under Scope.
  • Options entered for a type other than Dropdown are not stored as dropdown choices.
  • Removing a required field can change whether affected profiles are considered incomplete the next time profile completeness is recalculated.
