Navigate the REKNOWN Workspace

Purpose#

Understand the main REKNOWN navigation, find common work areas, and recognize which sections are available for each access level.

Who Can Do It#

Any signed-in user with an active organization membership and an active 14-day trial or paid subscription. The sections and actions shown depend on organization role and program access.

Prerequisites#

  • Be logged in to REKNOWN.
  • Have an active organization selected.
  • Complete any required password change.
  • Have an active 14-day trial or paid subscription for the organization.
  • For useful student, volunteer, schedule, and check-in lists, have access to at least one program.

Open and Use Navigation#

  1. On a desktop-sized screen, use the sidebar at the left of the workspace.
  2. On a small screen, select Menu to open the sidebar.
  3. Confirm the organization name and the Signed in as name near the top of the sidebar.
  4. Select a section such as Home, Students, or Schedule.
  5. On a small screen, the menu closes after you select a section.
  6. Use page actions such as Create student, Create volunteer, or Create event when your access allows them.
  7. Use View / Edit, View, or an item itself to open a detail page. Use the page's Back to programs, Back to students, Back to volunteers, or other back control to return.
  8. Select Settings to manage your profile and password. Organization admins also see organization-wide settings.

Main Sections#

  • Home: Shows summary counts, Today's events, and Birthdays this week. The visible summary cards depend on your access.
  • Check-In: Lists active events that can be opened for list-mode or kiosk check-in.
  • Programs: Shows program names, scope, transition or group status, and management actions. Organization admins and editors can see this section; editors see only assigned programs.
  • Volunteers: Manages volunteer access and program assignments. Organization admins and editors can see this section.
  • Students: Shows active student records available through your organization and program access. Search, program filters, and actions vary by role.
  • Alumni: Shows retained alumni records. This section is organization-admin only.
  • Schedule: Shows Upcoming, Past, and Cancelled events, with event search and a Program filter.
  • Student History: Lets organization admins and editors select a student and review attendance history.
  • Settings: Contains account and, for organization admins, organization management settings.
  • Super Admin: Appears only for REKNOWN super admins and is separate from normal organization administration.

Settings Sections#

  • Your profile: Available to all workspace users.
  • Password: Available to all workspace users.
  • Organization: Available only to organization admins.
  • Billing: Available only to organization admins.
  • Grade advancement: Available only to organization admins.
  • Custom fields: Available only to organization admins.
  • Audit log: Available only to organization admins.

Role-Based Navigation#

  • Organization admins can see all standard organization sections and manage organization-wide records and settings.
  • Editors can see Programs, Volunteers, and Student History in addition to standard sections, but management is limited to programs where they have Editor access.
  • Volunteers can use Home, Check-In, Students, Schedule, and Settings for the programs assigned to them. Most management actions are hidden.
  • A user's access can differ between organizations. Switching organizations can therefore change both the sidebar and available records.

What Happens Afterward#

  • REKNOWN remembers the current eligible section separately for the active organization and may restore it on a later visit.
  • Selecting Schedule uses the schedule route, and opening an event can update the page route for that event.
  • Leaving Students or Volunteers clears temporary directory state such as selections.
  • Changing sections clears open detail pages and, where appropriate, active check-in or event-detail selections.

Troubleshooting and Important Notes#

  • If REKNOWN sends you to Create your first program, the organization needs its initial program before the rest of setup can proceed normally.
  • If a section is missing, confirm your role, program access, and active organization. Missing sections are often intentional access controls.
  • If Create event is disabled, the organization may have no program or no organization timezone. An organization admin can configure the timezone under Settings and Organization.
  • If a list is empty, check its search, Program, or lifecycle filters before assuming records are missing.
  • Today's events on Home and Today on Check-In use the device timezone and event start time. If the organization timezone differs or an overnight event is on its second day, open Schedule to find the event and use its details page to start check-in or kiosk mode.
  • If the organization name is wrong, use Switch organization when it is available.
  • If the session expires, REKNOWN returns to login and displays Your session expired. Log in again to continue.
  • Select Log out in the sidebar to end the session.
