Run and Export Attendance Reports

Attendance reports are available for programs, events, and individual students. They provide summaries, printable tables, and CSV exports.

Permissions#

  • Organization admins can run reports across the organization.
  • Editors can run reports only for programs where they have editor access, including accessible events and students.
  • Volunteers without editor access cannot run attendance reports.
  • An active 14-day trial or paid subscription is required.

Open a Report#

  1. For a program report, open Programs, select View / Edit, then select Attendance report.
  2. For an event report, open Schedule, open an event you can manage, then select Attendance report.
  3. For a student report, open Students, open a student you can manage, then select Attendance report.

Choose Report Options#

  1. For program and student reports, use Date range and choose This month, Last month, School year (July-June), All time, or Custom range. Program and student reports initially use School year (July-June).
  2. For Custom range, complete From and To. The dates are inclusive and must form a valid range.
  3. Select Show removed check-ins when removed records should appear. They are excluded by default.
  4. If Load more records appears, select it until it disappears before relying on complete totals or exporting the full result.

Event reports always cover that event and do not show Date range. Program and student date filters use the event's start date in the organization timezone, not the timestamp when someone pressed check-in.

Read the Results#

  • Program reports show Attended events, Total check-ins, Unique students, and Average attendance, followed by Events and Students tables.
  • Event reports show Attendance and, when requested, Removed, followed by the Attendance roster.
  • Student reports show Events attended, First attendance, and Most recent, followed by Attendance history.
  • Removed records have status Removed and do not contribute to valid-attendance summary totals.

Export or Print#

  1. In a program report, select Events CSV for one row per attended event summary, Students CSV for one row per student summary, or Details CSV for individual attendance rows.
  2. In an event or student report, select Download CSV for the displayed individual rows.
  3. Select Print to open the browser's print dialog for the report.

CSV exports are generated in the browser from the records currently loaded on the page. If Load more records is visible, the export and on-screen summaries are not yet complete; load every page before exporting. Details CSV and event/student CSV files include an Attended or Removed status when removed records are shown. Events CSV and Students CSV summarize valid attendance only and do not count removed check-ins.

Expected Outcome#

The report reflects the selected scope, local-date range, and removed-record option. The chosen CSV downloads to the browser's normal download location, or Print opens the system print flow.

Troubleshooting and Important Notes#

  • Invalid attendance report filters: Check that From is not after To and that the organization has a valid Timezone.
  • A program report includes only events that have at least one valid, non-removed check-in. An event containing only removed check-ins does not appear in the program report even when Show removed check-ins is selected.
  • Event and student reports can display removed rows when Show removed check-ins is enabled.
  • Cancelled events are not automatically excluded from historical reports if attendance records exist.
  • CSV cells are escaped for spreadsheet safety, and filenames are generated from the program, event, or student name.
